FAQ
FAQ
The most common questions from companies that want cleaner decision flows, better data visibility, and stronger accountability.
General
What is WorkflowOps?
WorkflowOps is an operations management platform that brings time tracking, orders, delegations, leave, fleet, equipment, projects, and approvals into one system.
Who is WorkflowOps for?
It is built for mid-sized companies where operations, HR, admin, finance, project managers, and leadership need better visibility, faster decisions, and less process fragmentation.
Time & timesheets
How do approvals work for timesheets?
You can define a global approval process or separate variants per module. Everyone involved sees the current status and understands which step belongs to them.
Can we distinguish UOP and B2B?
Yes. WorkflowOps is aware of employment type, schedules, and settlement logic, so the data better reflects how your company actually works.
Purchase orders
Can we export official documents?
Yes. Orders can be exported to PDF and DOCX, making it easier to continue work with accounting teams, vendors, and internal documentation flows.
How are payment milestones tracked?
They are stored directly on the order, so project and finance teams share one timeline instead of keeping separate notes or spreadsheets.
Delegations
How are per-country diets handled?
Trips can reference country-specific diet rates so reimbursement remains structured and aligned with your internal policy.
What file types can employees attach?
Common attachment types such as PDF and JPG are supported, and delegation reports can be prepared as PDF for approval and archiving.
Work calendar
What does the week view show?
The week view shows planned work location and team availability, helping managers coordinate presence, meetings, and day-to-day operations.
What is “circle” sharing?
It is a controlled way to share calendar information with selected colleagues or groups when you need visibility without opening everything by default.
Overtime bank
What does FIFO mean here?
FIFO means overtime is settled in the order it was accrued. That makes balance reductions more transparent and easier to explain.
Can admins correct balances?
Yes. Administrative corrections are possible and remain documented in history for audit or payroll review.
Fleet
What fleet data is tracked?
WorkflowOps covers vehicles, assignments, transfers, events, and related operational information needed for stronger control over fleet usage.
How do transfer approvals help?
They create a clear chain of responsibility when a vehicle changes hands or locations, making the process easier to manage and review.
Equipment
How does assignment work?
Items are assigned and returned through a structured process, making it easier to keep records aligned with the real state of assets.
What do administrators see?
Administrators get a central overview of assignments, availability, and usage history across the organization.
Administration & security
Which sign-in methods are supported?
The system supports Google and Microsoft sign-in as well as classic email and password. Optional 2FA adds another layer of protection where needed.
How granular are permissions?
Permissions can be matched to roles and system areas so access to data and decisions reflects the real delegation of authority in your company.
